The most predictable thing about an event is the unexpected surprise.

Some simple preparations can make sure that your IT doesn’t give you a shock.

For small and growing events

  • Consider using Google Apps for email and shared documents.  This is not costly to setup, and gives your event a professional appearance and access to key information from any computer or smartphone.  Until Dec 2012, this was free, but now costs €50/user/year.   There is an alternative which is free for up to 3 users.
  • Make sure that computers are backed up.  This protects against theft and damage. Web-based, secure, backup can be achieved for €10 per computer per year. At that price, it’s too risky to not have it.  It takes less than 15 minutes per computer.

For larger events

  • How well does your IT infrastructure and business processes allow you to make the most of volunteer or short term support?
  • Have you looked at a CRM package to make sure that crucial information from the event is captured for the future and available to all staff?  Some CRM packages are very affordable to set up, depending on requirements.
